CCC Policies and Procedures

CREATIVE CLAY AND CHINA PAINTING POLICIES AND PROCEEDURES

The Board of Directors is responsible for implementing and enforcing the Policies/Procedures and Bylaws that safeguard the Studio, its members and the assets owned by the Creative Clay and China Club. The Board can alter Policies and Procedures as needed.  A printable version may be seen here

 STUDIO

  1. Studio hours (based on Monitor availability) are Monday, Wednesday, Friday - 9 a.m. to 8 p.m.; Tuesday, Thursday, Saturday and Sunday - 9 a.m. to 4 p.m.   The monitor calendar is posted on the club website as a hot link on the first page and as a link under the heading "MONITOR".
  2. Monitors are responsible for conducting business transactions and ensuring that members and guests follow studio policies and procedures.
  3. Monitor shifts are (AM) 9:00am – 12:30pm (PM) 12:30 pm – 4:00pm (PPM) 4:00pm – 8:00pm
  4. Members cannot be in the studio before or after studio hours without permission of the Board.
  5. Members doing legitimate business in the studio should sign the attendance log.
  6. Studio assets (equipment, tools & supplies) are provided for members use. C.A. policy states that these assets may not be used for personal financial gain other than in club sponsored events or events approved by the President of the Board.
  7. Studio storage spaces are for property of the studio and not for personal items, tools or supplies.
  8. Only members of the Club are permitted use of the studio.  Members are allowed to bring guests.
  9.  Pieces left in the studio for more than 30 days become the property of the studio.
  10.  All areas of the studio operate in conjunction with studio rules, hours, sales policies, etc.
  11. Any modification to the studio must have Board approval.
  12.  Each room in the studio is equipped with a security camera and is monitored on a regular basis.
  13.  Any donation of material/ property to the studio must be approved by a Board member or a Coordinator.
  14. Conversations regarding politics, religion and other topics that might potentially be sensitive to members should not take place in the studio.  No music is to be played in the studio unless you are using personal ear buds.
  15. Members are responsible for damage to any studio owned equipment and will be assessed a fine to cover damages. Fines will be determined by the Board of Directors and will be based on the cost to replace or repair the equipment.

 MEMBERSHIP 

  1. Membership dues are paid online or at the Sun City Business Office.
  2. ORIENTATION AND INTRO TO STUDIO CLASS ARE REQUIRED before a member can work in the studio or purchase supplies.
  3. Members will be required to follow club Policies/Procedures and Bylaws, treat other members with respect and maintain a friendly atmosphere in the studio. 
  4. A member exhibiting disruptive behavior will be asked to leave the studio.

 STUDIO CLEAN UP

  1. Each member is responsible for cleaning their workspace and equipment.
  2. Any studio equipment (wedging table. slab roller, etc.) should be cleaned immediately after use.
  3. Studio supplies must be properly cleaned, dried and put away.  This includes molds, mats tools, etc.
  4. The studio provides supplies for cleaning and drying items.
  5. Members are encouraged to participate in designated CLEANING DAYS. The studio is closed during the time set aside for cleaning.
  6. Members using the wheel room will follow the WHEEL ROOM CLEAN UP PROCEDURES posted in the wheel room and on the website.

  LOCKER POLICY  

1. A member can be assigned a locker after working/ conducting legitimate business in the studio 12 times in an 8-week period. Legitimate business includes dropping off/ picking up, making a purchase, working in the studio, signing up for classes, etc.  The sign-in sheet is used to determine times a member has been in the studio.  If no lockers are available, members will be put on a wait list.
2. The lockers belong to the club; assignment may only be made by the locker coordinator. Members must complete a Locker Request Form to obtain a locker.  Locker assignments are posted on the white board behind the Monitor's desk.
3. Lockers are relinquished if a member does not sign-in and conduct legitimate business at least 12 times in 8 weeks. As well, a member must inform the locker coordinator if they intend to vacate an assigned locker (i.e. moving, lack of use, change of mind).
4. Members are responsible for contacting the Locker Coordinator if health issues or extensive travel prevent them from working in the studio 12 times in 8 wks.
5. Members must store personal items in their locker.
6. Locks are permitted on lockers but must be the type that can be cut off. If a lock needs to be removed, the member is responsible for the lock removal fee.
7. Any member using a locker that has not been assigned to them will have all locker privileges revoked for 6 months.   

 CLASSES 

  1. The EDUCATION COORDINATOR works with teachers/ students and schedules all classes.
  2. All class fees are paid at the time of sign-up for class.
  3. Classes are for members only.

REFUNDS/ CANCELLATIONS

  1. Glazes, clay and tools sales are final. No refunds.
  2. Classesa) Class Fee under $5 - Money is forfeited and donated to the club. No refunds. b) $5- $10 Class Fee - Member can reschedule to another class that is the same fee. No refunds. (A Monitor can handle switching them to another class.) c) $25 Class Fee- Member can reschedule class or ask for a refund check to be processed for them by notifying the EDUCATION COORDINATOR in writing. (A check will be cut by SCTXCA and available within 2 weeks for pick-up at the studio.)

 

  SALES EVENTS AND WINDOW DISPLAYS 

  1. Members may participate in Club sponsored sales events including window sales, craft fairs etc.
  2. Members determine the price of their work.
  3. Window displays are periodically changed by WINDOW COORDINATORS.
  4. Members are allowed to display up to 3 items in the window displays and can replace any sold item.
  5. Items sold in studio sponsored sales are subject to a Club commission of 20%.
  6. The Board President must give approval for a member to participate in a non-studio sponsored event and a predetermined number of items are agreed upon. If items are sold the club will be paid the 20% of the sales price.
  7. Items made or fired in the studio, with materials purchased in the studio, may not be sold in shops, on a website, off premises craft fairs etc. A member may be expelled from the club if this rule is violated. (Refer to Bylaws)

 GUESTS 

  1. Guests can tour the studio with a Monitor or studio member.
  2. Members may bring a guest up to 3 times per quarter.  Guest must be registered on the GUEST LOG-IN SHEET in the Monitor’s notebook.
  3. Members must work with guests while in the studio.  Guest must follow studio rules.
  4. Guests are not allowed to purchase supplies or attend classes.  

CERAMICS 

  1. Ceramics may be purchased from the studio inventory or purchased from another source. Pieces purchased from an outside source are subject to a firing fee and must have an OUTSIDE CERAMIC TICKET placed with the piece on the kiln shelf.
  2. Members may select items that can be poured using studio molds. Items can be selected from the POURING BOOK and requested by completing a form in the book. Items must be paid for when ordered and no more than 3 items from different molds can be ordered at one time. Members will be notified when items are ready for pick up.
  3. The pouring team will pour pieces twice a month if volunteers are available. 

    CHINA PAINTING
     
  1. Members using the china studio kiln must pay a yearly fee as determined by the Board.
  2. All supplies for china painting are located in locked cabinets in the china painting studio and must be processed through the studio monitor. 

   KILN

  1. All Kiln Room policies must be followed.
  2. Members may fire up to 5 pieces (mix/ match) per kiln load day.
  3. Members have the responsibility to read and follow policies as posted on the website.
  4. Members must adhere to current policy regarding the numbers of pieces allowed per kiln load.
  5. Members are responsible for any kiln damage their piece might cause. Damages will be accessed by the Board of Directors and the Kiln Coordinator.
  6. Members should pick up fired pieced in a timely manner.
  7. A fired piece may remain on the kiln racks for 2 weeks.  Following the 2-week period the piece will be moved to the counter by the “Lost and Found” for another 2-week period.  If not claimed after that, the piece will become the property of the studio. 

  CLAY STORAGE 

  1. Members may store clay in clay bank shelves in HB1 or in wheel room clay shelves.
  2. Members are allowed one box for storing clay.
  3. Clay boxes used must be standardized boxes from Armadillo Clay and must be labelled with member’s name. Clay should be labelled with name and date.
  4. Clay stored on the storage shelves may be disposed of by Board Members if it is hardened/ a member has not worked in the studio for a two-month period.  The clay will become the property of the club at this point.
  5. Members using the plaster slab for drying clay may not leave clay on the slab for more than 2 hours. 

WORKTABLES 

  1. Members are allowed ¼ of a table for a workspace.
  2. Glazing is done on laminated surface tables.
  3. Dry sanding is NOT ALLOWED in the studio.

 
DRYING SHELVES 

  1. Drying shelves are for GREENWARE ONLY.
  2. Members should put items on appropriate shelves according to size.
  3. Members must put a tag with name and date on each piece.
  4. Members must remove papers, supports, boards etc. when piece is removed from drying shelf.
  5. Members must refrain from handling pieces that are not theirs.
  6. Pieces may remain on the drying shelves for 30 days.  If a piece needs additional drying time a member may seek special permission from the board.  Members must put their name and date on each piece.  A piece that is being worked on multiple times must have an updated date each time. 

 LIBRARY 

  1. Members may borrow books for the studio library using the honor system. 
  2. Books should be returned in a timely manner.
  3. Donations of books must be approved by the Board.

 INFRACTION OF RULES 

  1. Infractions of club policies will be brought to the attention of the President by the Monitor or by members aware of an infraction.  After verifying the circumstances of the infraction, the President will convey a description of the incident to the Executive Board.  The Board will review each infraction and may use the Charter Club Committee to reach resolution.
